Data Retention Policy

Overview
Heroes Haven retains user data only as long as necessary to provide the Service and comply with applicable laws.
Active Subscriptions
- Data is retained while a subscription is active
- Full access to all data and features is maintained
Cancelled / Non-Paying Accounts
Access shall continue through the end of the current billing cycle. After the billing period ends:
- Users shall have thirty (30) days to export their data
- After sixty (60) days of non-payment, all data shall be permanently deleted
This deletion is irreversible. Users are solely responsible for exporting their data prior to account expiration.
Safe Keep Tier
Users may subscribe to a Safe Keep plan to preserve data after cancellation. This prevents deletion and allows ongoing access to stored information.
Inactive Accounts (Non-Billing / Lifetime Users)
Applies only to users without active billing. Timeline:
- 12 months of inactivity — reminder email
- 15 months — second reminder
- 18 months — final notice
Data may be deleted following the final notice period if no account activity occurs.
Manual Deletion
Users may delete their account at any time or submit a deletion request through support. Deletion requests shall be processed within thirty (30) days.
Data Export
Users can export their data at any time through the Reports section of the Service. Users are advised to export their data prior to cancellation or account deletion.
Compliance
This policy aligns with FTC Health Breach Notification Rule requirements. Data shall not be retained longer than reasonably necessary to provide the Service.
